Privacy Policy

This privacy policy describes why and how the Silicon Valley Monterey Bay Council ("SVMBC," "Council," "we," "us," or "our") collects and processes information provided to or collected by us through our websites, applications, camp registration systems, and other digital platforms. We take great pride in the relationship of trust we have built with our members, leaders, volunteers, families, and donors and we are dedicated to treating your personal information with care and respect.
This policy applies to information collected through svmbc.org and all associated Council websites, online registration platforms, and digital properties, including those related to Camp Hi-Sierra and Camp Chesebrough. This policy is effective as of the date above and may be changed by us in accordance with the procedures described in the Changes section.
Note: This policy governs data collected by the Silicon Valley Monterey Bay Council. The Scouting America National Council maintains a separate privacy policy at scouting.org/legal/privacy-policy. Privacy choices you make on the national website will not apply to our use of information collected directly through our Council websites and applications, and vice versa.
Who We Are
The Silicon Valley Monterey Bay Council is a local council chartered by Scouting America (formerly the Boy Scouts of America). We serve youth and families across Silicon Valley and the Monterey Bay region, offering Scouting programs including Cub Scouts, Scouts BSA, Venturing, Sea Scouts, and Exploring. Our Council operates out of the Council Service Center and maintains two camp properties:

What We Collect
We collect two basic types of information — personal information and anonymous data — and we may use personal information and anonymous data to create aggregate data. Specifically, we may collect:
- Membership information you provide when joining Scouting America through our Council, including your name, address, email address, phone number, date of birth, and gender
- Camp registration information you provide when registering for Camp Hi-Sierra, Camp Chesebrough, or other Council events, including participant names, emergency contact information, dietary restrictions, and, where required, health and medical information (Annual Health and Medical Records)
- CampDoc health information submitted through our third-party health records platform for camp attendance, including immunization records, allergies, medications, and physician authorizations
- Transaction information you provide when purchasing products, services, event registrations, or making a donation, including payment information processed through our secure payment providers
- Volunteer and background check information submitted in connection with adult volunteer registration and background screening requirements
- Eagle Scout advancement information including Board of Review scheduling data, project details, and advancement records
- Communication preferences and information you provide when subscribing to our email lists, text/SMS messaging, newsletters, or event communications, including your mobile phone number when you opt in to receive text messages
- Photos, videos, and media captured at Council events, camp programs, and Scouting activities
- Usage and technical data including your device identifier, IP address, browser type, and how you interact with our websites and applications
How We Collect Information
We collect your personal information when you provide it to us in the course of registering for Scouting membership, signing up for camp programs at Camp Hi-Sierra or Camp Chesebrough, registering for Council events and training, making donations, subscribing to our communications, completing health forms through CampDoc, or otherwise interacting with us through our websites and platforms.
We collect anonymous data through standard web technologies such as cookies, analytics tools, and similar technologies that we use to operate our websites and improve user experience.
Some information is collected by third-party platforms we use to deliver our services. These include, but are not limited to, our camp registration systems, email marketing platforms (such as HubSpot), health records platforms (such as CampDoc), and payment processors. Each of these providers maintains its own privacy practices, and we encourage you to review their policies.
How We Use Information
Consistent with applicable law and choices available to you, we may use information collected from you to:
- Provide you with the Scouting programs, camp experiences, products, and services you have requested or registered for
- Communicate with you about your membership, camp registration, advancement progress, event schedules, and Council activities via email, text/SMS messages, or other channels you have opted in to
- Manage health, safety, and medical needs of participants at Camp Hi-Sierra, Camp Chesebrough, and other Council events, including administration of Annual Health and Medical Records and CampDoc submissions
- Process camp registrations, event sign-ups, donations, and merchandise transactions
- Administer Eagle Scout advancement tracking, Board of Review scheduling, and related recognition processes
- Send you information about upcoming Council programs, camp seasons, fundraising campaigns, training opportunities, and events we believe may interest you
- Administer and enforce Scouting America policies concerning Youth Protection Training requirements, background screening, and safety compliance
- Operate, improve, and optimize our websites, registration systems, and communication platforms
- Detect, investigate, and prevent activities that may violate our policies or be illegal
Sharing Your Information with Others
We may share your personal information with the Scouting America National Council for administrative purposes, including the proper and efficient administration of Scouting programs and compliance with national policies.
We do not sell, rent, or lease lists of current or former registered members, leaders, or donors to any third party for direct marketing purposes.
In addition, we may share your personal information:
- With third-party service providers performing services on our behalf, such as camp registration management, email marketing, health record administration, payment processing, background screening, and data analytics. These providers are prohibited from using your personal information for their own marketing purposes.
- With unit leaders, district volunteers, and other individuals associated with your Scouting unit for efficient unit and program administration, including sharing advancement records and training completion status.
- With CampDoc and other health record platforms to administer required medical documentation for camp participation at Camp Hi-Sierra and Camp Chesebrough.
- With third parties as required to enforce our policies, ensure the safety and security of our members and volunteers, protect our rights and property, comply with legal process, or as otherwise required by law.
- All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Your Controls and Choices
You always have the choice not to provide your personal information to us, though doing so may prevent you from receiving certain services or participating in certain programs and activities.
Mandatory Communications
As long as you are a registered adult leader of Scouting America, you may not opt out of non-commercial notifications related to the safety and operations of Scouting programs, such as messages about Youth Protection Training, health and safety policies, and background screening requirements.
Marketing Communications
We may send you information about Council programs, camp registrations, fundraising efforts, and events via email or text/SMS messages. You may unsubscribe from email communications at any time by following the instructions provided in our emails or contacting us directly. To opt out of text messages, reply STOP to any text message you receive from us, or contact the Council Service Center. Standard message and data rates may apply to text messages.
Account Management
You can update your contact information and manage your preferences by contacting the Council Service Center at (408) 638-8300 or through the applicable online platform where your account was created.
Tracking Technologies
We use cookies and similar technologies to track activity on our websites. We use this data to improve site performance and user experience. Most web browsers allow you to manage cookie preferences through browser settings.
Children's Privacy
Digital privacy is a component of Scouting America's commitment to youth protection and safety. We do not knowingly collect personal information from children under the age of 13 unless a child's parent or legal guardian provides it to us through the membership registration process, camp registration, or health record submission.
Consistent with the U.S. Children's Online Privacy Protection Act (COPPA), a parent may review or have deleted their child's personal information and prohibit its further collection or use. If you have a request related to the personal information of your child under the age of 13, please contact us using the information in the Comments and Questions section below.
Our websites are not directed at children under 13 for the purpose of collecting personal information without parental involvement. In the event we discover personal information has been collected from a child without proper parental consent, we will delete the information or promptly seek consent.
Camp-Specific Data Practices
Camp Hi-Sierra and Camp Chesebrough
Registration for our camp programs requires the collection of additional personal information beyond standard membership data. This includes emergency contact information, health and medical records (Annual Health and Medical Records, Parts A, B, and where applicable, Part C), allergy and dietary information, and medication details.
Health records submitted through CampDoc are governed by CampDoc's own privacy policy in addition to this policy. We access health information in CampDoc solely for the purpose of ensuring the health and safety of camp participants and staff.
Photos and videos may be taken at camp programs for use in Council communications, marketing materials, social media, and camp promotional content. If you do not wish for your child or yourself to appear in such media, please notify the camp director at the time of check-in or contact the Council Service Center.
Data Security, Integrity, and Retention
The security, integrity, and confidentiality of your information are extremely important to us. We have implemented technical, administrative, and physical security measures designed to protect personal information from unauthorized access, disclosure, use, and modification. Despite our best efforts, no security measures are perfect or impenetrable.
We will retain your personal information for the length of time needed to fulfill the purposes outlined in this privacy policy unless a longer retention period is required or permitted by law. Advancement records (including Eagle Scout records) may be retained indefinitely as part of permanent Scouting records.
Third-Party Links and Services
Our websites may contain links to other sites not owned or controlled by us, including the Scouting America national website, CampDoc, various payment processors, and social media platforms. We are not responsible for the privacy practices of those sites. We encourage you to review the privacy policies of any third-party site you visit.
Changes
From time to time, we may update this privacy policy to accommodate new technologies, regulatory requirements, or changes in our practices. We will provide notice of material changes by posting an announcement on svmbc.org. We encourage you to review this policy periodically.
Region-Specific Disclosures
Notice to California Residents
If you are a California resident, you may have certain additional rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA).
As described above, we do not sell personal information to third parties. You have the right to request access to the categories and specific pieces of personal information we have collected about you, to request deletion of your personal information, and to opt out of any future sale of your personal information (though we do not currently engage in such sales).
California Business and Professions Code § 22581 permits registered users who are minors to request and obtain removal of content they have publicly posted. To submit a request, please contact us using the information below with a detailed description of the specific content or information at issue. Please be aware that such a request does not ensure complete or comprehensive removal of the content.
